BBA-Convention about Duty of Safety Precaution – GEWOBA Potsdam Presented Mobile Solution
As property owners companies are under numerous obligations concerning safety precautions. Practically, a complex system of various requirements, policies and jurisdictions faces them with organisational and technical challenges. To cope those challenges successfully with a professional management the BBA hosted a convention where the GEWOBA from Potsdam presented their legally safe documentation with the easysquare solution.
On 6th
of August 2015 the Berliner Akademie der Immobilienwirtschaft e.V. (short BBA) invited
to the convention under
the title “Duty of Safety Precaution: Current Challenges, Efficient Organisation
and Safe Documentation”. In a diverse program participants were able to get a
compact overview of current developments in jurisdictions, documentation
possibilities as well as various mobile IT-solutions. Special highlights were
innovative practical examples from the housing industry like the presentation
of the GEWOBA from Potsdam.
The GEWOBA
Wohnungsverwaltungsgesellschaft Potsdam mbH has taken over the management of
housing stocks of ProPotsdam GmbH, which belongs to the biggest real estate
providers of the city with a stock of about 17,000 apartments. As a property
owner it’s the company’s duty to secure its buildings, properties as well as
every linked infrastructure in an appropriate way, to prevent damages for third
parties. Exemplarily, services like maintenance, tree audits, property inspections,
janitor and craftsman services as well as external audits have to be taken care
of. Robert Bolduan, divisional director for the technical facility management
of the GEWOBA, presented the solution for safety precaution, which was
implemented together with PROMOS.
The
solution depicts working processes between property owners and external service
providers, which take over single or multiple audit services for the landlords
as operators efficiently. Technically, the solution is based on the SAP®
ERP system of the property owner, which provides the basic data and
configurations. Also, it rests on the easysquare web portal, which gives
operators the opportunity to control and monitor the audit obligations given by
the property owner. During the performances of audit services on site iPads
with the easysquare mobile app are used.
The
presentations’ attention was directed to the legally safe documentation to
minimize liability risks. This also includes aspects like coded delivery of
documents, electronic signatures as well as the deposition of digital recording
sheets with help of audit reports.
